Background
Projectopia was created to address a clear need among freelancers, agencies, and small teams who relied on WordPress but lacked an integrated project management solution. External tools were costly, disconnected, and required teams to juggle multiple platforms. The goal was to build a complete project management system entirely inside WordPress.
Objectives
Provide a full project lifecycle solution inside WordPress
Make project management accessible for small teams and agencies
Offer optional add-ons to expand functionality without bloating the core
Improve client communication with a clean front-end dashboard
Reduce admin time with automation and structured workflows
Build a scalable commercial product with long-term growth potential
Development
I designed and built Projectopia as a modular WordPress plugin using custom post types, user roles, and capabilities. The front-end dashboard was developed with an AJAX-driven interface for a smooth, app-like user experience. The plugin included project and task management, quoting, invoicing, messaging, and support tickets.
Additional premium add-ons, such as Kanban boards, time tracking, custom fields, expenses, and WooCommerce automation, provided users with the flexibility to tailor the system to their workflow.
Challenges
Creating a powerful yet simple UI inside WordPress
Ensuring the plugin remained lightweight while supporting advanced features
Delivering a consistent front-end experience for clients
Designing a modular architecture that was easy to maintain and scale
These challenges were solved through a clean separation of core functionality and optional add-ons, efficient use of WordPress architecture, and continuous refinement based on user feedback.
Results
- Adopted by thousands of freelancers and agencies worldwide
- Helped users centralise their entire workflow inside WordPress
- Reduced admin time and improved client transparency
- Delivered a scalable foundation for ongoing add-on development
Achieved strong commercial performance leading to a successful sale in 2021
Outcome
Projectopia grew from a solution built for real-world needs into a commercially successful WordPress product. In 2021, I completed a full product lifecycle by selling Projectopia, demonstrating both technical execution and product strategy from build to exit.
